Position Description:

 

The Executive Assistant provides administrative support to the General Manager and Senior Leadership Team in an efficient, accurate, timely and safe manner.   The Executive Assistant will have exceptional organizational skills, strong interpersonal, business acumen, communication, computer skills and a professional telephone manner. The Executive Assistant will also be expected to proactively provide senior administrative and coordination support to the General Manager & Senior Leadership Team, as required.

 
Responsibilities:
 
  • Ensure that the work practices and systems within the Management team are consistent with any statutory requirements by monitoring and reviewing activities to minimize any negative impact on safety and the environment

  • Detailed daily management including the coordination of complex executive meetings and workshops, requiring interaction with both internal and external personnel and consultants.

  • Handle administrative and communication activities on behalf of General Manager while independently making decisions to address work priorities.

  • Interact with internal and external personnel at the senior level and follow up or coordinate on relevant matters.

  • Co-ordinate and manage SLT meetings, Executive dinners and other required functions etc.

  • Arrange domestic and international travel and accommodation as required.

  • Proactive and timely processing of Concur, Visa Card reconciliations for the General Manager

  • Provide off-site administrative support at meetings/ reviews as required.

  • Provide confidential support to the General Manager in all required practices

  • Implement and initiate improvement in your area of responsibility

  • Co-ordinate all executive visits as directed to by General Manager

  • Assist with the preparation of presentations in PowerPoint and Visio and making minute records of meetings.

  • Operate within departmental budget as stipulated (manage budgets, invoicing, expense submissions, as required)

  • Compliance with Barrick policies and procedures

  • Implementation of agreed strategies
  • Delivery of agreed outcomes aligned with the overall business plan and values

  • Availability (be available to work outside normal hours if required)

  • Communication and interaction; ensuring positive interaction with internal and external stakeholders.

 
Qualifications:
 
  • Post secondary education with focus on Business Administration is preferred

  • 5 – 10 years experience in a support role at Executive level is required.

  • Broad experience in executive support roles is required, including advanced knowledge of MS Office including Word, Excel, PowerPoint, Visio and Outlook.

  • Able to work with little or no supervision

  • Ability to prioritize work and self-manage to deadlines is essential.

  • Experience in a similar heavy industry environment would also be desirable.

  • An appreciation for issues relevant to mine sites and an understanding of the mining &/or gold mining process

  • Strong interpersonal and negotiation skills to influence and achieve targets
